Collecting personal information is necessary if we are able to provide a service to our applicants and tenants and to enable us to communicate with them.
At Costello Lettings Ltd we follow strict security procedures to ensure your personal information is not damaged, destroyed or disclosed to a third party without your permission and to prevent unauthorised access.
Our computers are kept in a secure, alarmed facility, are password protected and have secure firewalls to with Microsoft Defender to restrict electronic access. Our paper files are kept in the secure facility, in locked cupboards when the office is closed.
Any personal information such as name, address, telephone number and email address given via our website or Rightmove will only be used to provide a requested service. This information will not be disclosed to any other third party without your prior permission or unless we are required to do so by law.
The software used to administer any lettings is an iCloud based system – Jupix – which complies with the Data Protection Act and data is stored within the EEA (European Economic Area).
You have the right of access to data held by us, to request to have any incorrect personal information amended or deleted. You also have the right to object to the processing of your data, to have personal data erased (the ‘right to be forgotten’), to restrict processing of personal data. (These rights don’t apply in all circumstances).
Our website may have links to third party websites, e.g. Rightmove, which we have no control over. If you visit those websites you should make sure you are happy with their own privacy policies.
Any non-personal information such as pages accessed and files downloaded will only be used to determine visitor trends, which properties are more popular, etc. and to help us improve our service. It does not tell us anything about whom you are or where you live.
We will not collect any personal information on people aged under 18 years.
Costello Lettings Ltd processes personal information only for the purposes it was originally collected and in accordance with this Privacy Statement. We take reasonable steps to ensure that the personal data is relevant, reliable for its intended use, accurate, complete, and current for the purposes for which it is used. We retain information for as long as reasonably required for business purposes or as reasonably required to comply with our legal obligations.
We will pass your details on to utility companies, water boards and your local council tax office as we have a legitimate interest in making sure that utility charges are directed to those responsible.
We do not require consent to contact you for legitimate business reasons e.g. property inspections, obtaining annual gas safety inspections, renewing Energy Performance Certificates.
Any personal information is treated in accordance with the Data Protection Act 1998.
